Cancellation Policy – Elzaghandi Travel

We understand that travel plans may change. This policy explains the cancellation charges and refund procedures applicable to confirmed Elzaghandi Travel bookings.

Cancellation charges are calculated from the date written notice is received by Elzaghandi Travel.

1. Standard Cancellation Policy

Important: Even where no cancellation charge applies, bank fees, card-processing fees, payment-gateway charges, currency-conversion costs, and other non-refundable third-party expenses may be deducted.

2. Peak Holiday Period Cancellation Policy

The following terms apply to bookings during Christmas, New Year, and Easter holiday periods:

3. How to Cancel

All cancellation requests must be sent in writing to info@elzaghanditravel.com.

The request should include the lead traveler’s name, booking reference, travel dates, affected services, and a clear request to cancel.

A cancellation becomes effective when the written request is received by Elzaghandi Travel. A message sent only to a guide, driver, hotel, camp, or other supplier is not an official cancellation unless acknowledged by Elzaghandi Travel.

4. Non-Refundable Fees and Services

The following may be non-refundable once charged, issued, reserved, or paid to a third party:

  • Bank, intermediary-bank, card-processing, payment-gateway, and currency-conversion charges.
  • Domestic or international flight tickets.
  • Hotel, camp, ecolodge, or vehicle deposits.
  • Protected-area fees, permits, entrance tickets, and administrative charges.
  • Special-event tickets and limited-capacity activities.
  • Private charters, exclusive vehicle arrangements, and group reservations.
  • Any supplier service confirmed as non-refundable before booking.

5. Special Bookings and Supplier Conditions

Some bookings may carry separate, stricter, or fully non-refundable conditions, including:

  • Peak-season hotels, desert camps, and ecolodges.
  • Domestic flights and special transport arrangements.
  • Private desert expeditions, exclusive camps, and multi-vehicle groups.
  • Special events, promotional rates, or limited-availability departures.
  • Permits or services requiring advance non-refundable payment.

Any special conditions will be communicated in the quotation, invoice, booking confirmation, or related correspondence. Where a confirmed supplier policy is stricter, that policy applies to the affected service.

6. Refund Process

Where a refund is due, it will be calculated after deducting applicable cancellation charges and non-refundable costs.

Refunds will normally be returned through the original payment method where reasonably possible. Additional identification or banking information may be requested to complete a refund securely.

Processing time depends on suppliers, banks, card issuers, payment gateways, and international banking procedures. Elzaghandi Travel is not responsible for delays caused by those third parties after a refund has been submitted.

7. Changes Treated as Cancellation

Requests to change dates, passenger names, destination, itinerary, accommodation, camp, flight, vehicle, or major services are subject to availability and supplier approval.

If the original supplier does not permit an amendment, the change may be treated as cancellation and rebooking. Applicable cancellation charges and new rates will then apply.

8. No-Show, Late Arrival and Unused Services

No refund will be provided for no-shows, late arrivals, missed transfers, missed flights, early departures, or any accommodation, meals, activities, transportation, permits, or other services voluntarily left unused.

Travelers are responsible for arriving at the confirmed meeting point and time.

9. Weather, Protected-Area Closures and Force Majeure

Desert routes or activities may be affected by severe weather, sandstorms, road conditions, protected-area closures, government restrictions, safety concerns, transportation disruption, or other circumstances beyond our reasonable control.

Where possible, Elzaghandi Travel will offer a safe alternative, revised route, rescheduling option, or assistance in recovering refundable supplier amounts. Refunds cannot be guaranteed for non-refundable costs already incurred.

10. Cancellation by Elzaghandi Travel

If Elzaghandi Travel cancels a service for reasons within its reasonable control and no acceptable alternative is provided, the client will be offered a refund of the amount paid for the cancelled service, less any services already used.

This provision does not apply to cancellations caused by force majeure or independent supplier failure beyond our reasonable control, which will be handled according to supplier terms and applicable law.

11. Travel Insurance

Comprehensive travel insurance is strongly recommended immediately after booking. The policy should cover cancellation, medical emergencies, evacuation, travel disruption, missed departures, activities, and baggage.
